Purpose (Why we do this):
An event is a planned occasion for a community's residents and prospects. These events enhance the living experience for residents and provides an additional "amenity."
Policy (What you’re supposed to do):
It is important that each event has an ample amount of planning in order to be executed successfully. Creating an Event Calendar for the upcoming month will allow us to keep residents informed by having content prepared for the monthly newsletter and will ensure that the Resident Calendar is up to date.
While planning an event, it is important to set goals and have a desired outcome. Some examples of these are,
- Collecting reviews
- Collecting lifestyle photos
- Collecting guest cards
- Securing renewals
- Fostering relationships in the community
Getting the word out by marketing for your event is essential. When organizing an event, plan out your social media content, omnipresence, and email notifications.
- Social Media
- Post to your account 1 week before the event
- Post on your story leading up to the event
- Polls about what they are most excited for
- Graphics about the event
- Countdown to the event
- Omnipresence
- POP/signage
- Bandit Signs
- For larger events consider flyering front doors
- Emails
- Through Entrata's Message Center you can schedule your emails to send later.
- 3 Email Checklist
- Save the Date
- Don’t Forget
- Day of Invite
Procedure (HRA Way!):
Refer to the activity section of your budget in order to properly allocate funds towards your monthly events. You will want to get your Property Manager's approval on your planned events. Some ways to stay Fiscally Responsible while planning your events are below,
- Ask local businesses for sponsorships or open a business account
- Shop your dollar store
- Save by buying in bulk
- Shop around - go to multiple stores/look online and find the best prices
Create a detailed to do / shopping list to properly prep your event. Make sure to delegate tasks throughout your team. We strongly recommend creating a Trello Board to manage the list as a group and make updates in real time. Reach out to training@horizonra.com if you would like help setting one up!
