Horizon's High 5 Huddle ~ The NEW & Improved Daily Line Up Meeting

 

Purpose (Why we do this):


High 5 Huddles are meant to boost energy, and confidence and initiate positive programming for Horizon teammates! High 5 Huddles should happen daily and should take 10 - 15 minutes. We encourage everyone to participate that can. The purpose for the Daily High 5 Huddle is to increase communication about the Pledge, leasing, daily tasks and obstacles. Also, this is meant to increase transparency and team bonding every day.

Policy (What you're supposed to do):


High 5 Huddles should focus on the Pledge & POSITIVE happenings at a property!

Keep your team engaged and excited about the huddle. These are a great opportunity to keep everyone on the same page by maximizing communication. Managers ~ make sure everyone on your team gets a High 5! Focus on storytelling when possible!


The results of hosting these Daily High 5 Huddles Up's are listed but not limited to:

  • Being 1% better everyday 

  • All staff members being aware of important task and emergencies on site

  • Leasing team and maintenance team being on the same page when it comes to move ins, back fills, make readies, workorders , projects,  important task, etc. 

  • Build deeper connections with team members

  • Determining what pivots need to be made if there are any for a specific person or the entire team 

  • Continue increases in communication = Less undesirable results and "Fires" to put out

High 5's are encouraged throughout the day - don't limit them to the High 5 Huddle!

 

Procedure (HRA Way!) 


Tips That Will Help Make a Great High 5 Huddle Up:

  • Speak about the Pledge every meeting!
    • Repetition and constant discussion drives understand and builds habits.
    • Customer Service - Above & Beyond driven - Share above & beyond stories - be intentional!
    • Property Appearance - Maintenance - services requests completed yesterday > high 5 to the maintenance team
    • Market Leader - Leasing - PL/RN from yesterday > high 5 leasing team
    • Fiscal Responsibility - DQ/Bad Debt - Collections from yesterday, current DQ > high 5 to account manager
    • Impactful Leadership - Team check-in - what does the team need?
    • Make it fun!
    • This will help with buy in from the team. Don't make it repetitive!
  • Add a question of the day!
    • What time era would your travel back to?
    • What's is your favorite car and why?
    • If you won, the lottery what would be the first thing you will do or buy?
    • Real Christmas tree of fake? 
    • Etc. 
  • Taking meeting minutes
    • It is import that someone records notes for the entire meeting. Sometimes information can be missed by someone and having meeting notes to refer back to can clear up unanswered or forgotten questions.
    • Review minutes/notes from previous meeting at the beginning of the High 5 Huddle Up.
  • Develop a communication platform for information and changes to be updated.
    • Team Group Chat, Trello, Group Text, Group Email, Etc.
    • Ex: The Verge High 5 Huddle Up *Name of Teams Chat*
    • Allow this platform to be an area you only update meeting notes about your High 5 Huddle Up or any changes that come up through the day regarding something that was discussed in the High 5 Huddle up meeting.

What if I have a small team?


This is ok, if you have a small team still conduct your meeting when best for the office. The communication from these meetings will only be beneficial and helpful to the overall flow of operations on the site. 


Does the meeting have to be at a certain time? 


The meetings should be around the time that is best for your team and the operations of your office. We have seen having these High 5 Huddle Up meetings sometime in the morning works best as everyone is fresh with their daily task, office is slower and maintenance task haven't ramped up. There is no certain time frame, it's just best to conduct the meeting daily

  • Have everyone bring top 3 task to discussion

  • Have an open discussion about high level information

  • Take the time to connect over the pledge and personally

  • Improve 1% better each day 


What if the entire team doesn’t work at the same time?


The High 5 Huddle Up notes should be recorded each meeting by someone and uploaded to the platform the entire team shares for meeting updates. Team members who were not at the meeting or shift didn’t start should also go in and add there top 3 task to the platform that is chosen at the beginning of their shift.  It may also be beneficial to have mini High 5 Huddle Ups with team members who were not at the meeting in case they have any questions.

Having the communication platform to update information will be very beneficial in situation such as this, constant communication and transparency can still be maintained regardless if a team member is present for the meeting or not.
