Purpose (Why we do this):
Our corporate office helps with bad debt collections for specific sites. As your property is transferred to corporate collection, the bad debt process continues to be a team effort.
Policy (What you're supposed to do):
The contact information on all Pay Ready (previously Debt Logic) communication is immediately switched from the property's email & phone to corporate collection email & phone.
Here are the tasks the corporate team will handle for your property's bad debt collections:
- Account Activation: Accounts will continue to transfer during the nightly integration. Our corporate team will confirm all information is accurate & activate them on a regular basis.
- Proactive Communication: Call will be made to past residents with balances over $0.01.
- Automatic Communication: Balance reminder emails will be sent periodically.
- Transfer to 3rd Party: Unresponsive accounts will be turned over to collection agency after 90 days. We don't want to market 90 days, but rather 45 days as a final deadline.
- Payment Plans: All payment plans will be approved & established by the corporate team via Pay Ready. Residents are required to sign up for recurring payment for their payment plans via Pay Ready. This keeps them accountable.
- Pay Ready Assistance: Our team will handle all questions regarding logins, past payments, returned payments, etc.
- Field Calls Regarding HRA Policies: Our team will handle all calls regarding lease breakage, skips, utility charges, & basic move-out charges (especially if move-out inspection pictures are provided).
- Deposit Reconciliation: Pay Ready deposit will be reconciled every month by the corporate team prior to Accounting Month End.
The on-site team will continue to be responsible for:
- Contested Charges: Any dispute involving previous meetings with office staff or the maintenance team members would be directed back to the site.
- Providing Missing Paperwork: All paperwork should be executed through Entrata documents. For migrated accounts, you may be contacted for previous paperwork (signed applications, leases, etc.).
- Updating Activity Logs in Entrata: Please make sure to add to account's history, disputes, roommate conflicts, recurring maintenance-related problems, security issues, etc. to the activity log. This allows our corporate team to respond to residents' questions & concerns.
As Pay Ready software continues to evolve, you will be made aware of the updated progress.
