Corporate Leads/Leases

We use corporate leads when a business or company wants to rent more than one apartment but have access to all of them under one login. The corporate lead is the "shell" & then as many applications as necessary can be added to it. Each application will go through its own induvial lease process, eventually turning into a resident.


Creating a new corporate lead:

  1. In Entrata, go to Leads (at the top in red) > Corporate Leads > Green arrow in the top left
  2. Fill out the business information.
    • BIN & Tax ID are marked as not required (no asterisk) but we it is recommend to input them here before hitting save.
    • IMPORTANT: The screening is based off the business name. It needs to match the company's W9 otherwise the screening will come back fail with no credit.
  3. On the lead screen, click process screening in the top right. You’ll run it as business credit (which uses the company name).
    • If you didn’t have the BIN or Tax ID prior to entering the lead on the first screen, you can add that info by clicking edit on the lead screen quick view prior to processing screening. These numbers are not required but are recommended to have.
  4. Business screenings come back with what’s called an intelliscore. It is a number from 1-100 (100 being best) from Experian that grades how at risk a company is for paying/not paying. It’s based on many factors- background information, payment trends, collections, public record findings, etc. We absolutely do NOT want to accept classes 4 or 5, but 1-3 can be at the discretion of your regional.     Most regionals have been asking for credit references & the previous year's tax information to go along with the intelliscore. If you have further questions, you can reach out to Experian at 1-800-520-1221 or visit www.Experian.com/b2b
  5. If approved, in the lead you’ll see Add Application in the top right. This will attach an application to the corporate lead account (under the applications tab) & also starts the steps to add an individual & select a unit. Fill out the property & leasing agent.
  6. You’ll see the business you input is listed as the primary on the account. Click add applicant to add a secondary individual (whoever will be living in the corporate unit). Any individuals on corporate accounts MUST be listed as non-leasing occupants. This will screen the person’s background/criminal but not their credit, since we already approved the business’ credit.
  7. The application must be completed, so invite the secondary. In this step, you’ll also need to add a specific unit & term to the primary business.
  8. One the application is completed by the secondary, check the screening & approve if possible. Then draft the lease & move the business/person in just like usual when needed.
  9. The application will now move to the residents tab within the corporate lead. The corporate lead will have access to this account when logged into the portal.
  10. Follow steps 5-9 to add more than one apartment/bed to the corporate lead.

Managing corporate leads (Office):


  1. Corporate leads can be managed in Leads (in red) > Corporate Leads. Find the lead you are looking for & click into it.
  2. Within the corporate lead, you'll see applications or residents (applications turn into residents once fully approved). Select which one you need to drill down on information.
  3. When making payments, corporate leads may see the error Last Name required. This has nothing to do when the card or name on the card. It's because in Entrata, the entire business name is listed as first name & there's no last name. When inputting the business name for the account/screening, it all gets input as a first name. To fix:
    • Go to Leads (top in red) > corporate leads > select corporate lead. Then click  residents > select resident > household tab > click resident > summary tab. Click edit occupant info & adjust the corporate lead to have a first & last name. Save it. The payment should now go through.


Managing corporate leads (Residents):

  1. Corporate leads have access to all applications/residents within that lead.
  2. To go between accounts or make bulk payments, select "Change My Lease" when logged into the portal. Select a unit or make a bulk payment.
