Guest Card Best Practice

Purpose (Why we do this):


To comply with Fair Housing and HRA standards, a guest card is required to be completed for every prospective resident.

 

Policy (What you’re supposed to do):


We are required to complete a guest card for every prospect resident whether they tour, call, email, text, or walk-in. Fair Housing Laws also requires that every guest card is held on property for 3 years before being disposed of.

 

Procedure (HRA Way!):


A paper guest card should be completed and later entered into Entrata (unless otherwise instructed by your Regional). Guest cards should be available at all times for your team, and can easily be found on Horizon’s Creative Portal or follow this link to HRA Guest Card.


To provide superior customer service to your prospects, you should never give the guest card to them to fill out, but rather utilize for yourself. We should be using these as tools to make sure we are obtaining all the necessary information, and any additional notes to allow us to remember our prospects. While taking notes on our guest cards, we must always keep Fair Housing in mind.
