Training On-boarding Guide

Purpose (why we do this):


At Horizon, we are dedicated to providing our team members with training, resources and support that allows them to feel confident in their new role. On-boarding is a critical component of someone's success at Horizon and these tools have been designed to help guide a hiring manager through the process. 

 

Policy (what you're supposed to do):


The following on-boarding procedure should be followed when on-boarding a new teammate. 

 

Procedure (HRA Way!)


Preparing to on-board and train a new teammate takes time. Please chunk necessary time out of your schedule to prepare for their arrival. We want to make sure they are greeted with a warm welcome and the tools required to perform their job are ready and available for them. Please follow these steps when hiring to ensure you've touched all the fence posts. 

  1. Submit an onboarding form through the support button on the Source Please include the employee's full name, position, start date, and personal email. If the employee will be operating a Horizon vehicle a copy of their driver's license needs to be emailed to emurray@horizonra.com so they can be added to our insurance. 
  2. Use the proper on-boarding checklist to schedule and track training progress. Upon completion, on-boarding checklists need to be emailed to the Regional Manager & training department. Please also upload the completed checklist to the new hire's Paylocity account.  
    1. Leasing Consultant
    2. Leasing Manager
    3. Account Manager
    4. Property Manager
    5. Maintenance Supervisor
    6. Maintenance Tech
    7. Groundskeeper/Porter
    8. Bus Driver/Shuttle Driver
  3. The hiring manager will be responsible for organizing and scheduling all property specific and day to day operations training. The training team is available to assist with training and will schedule standard training based on position and employee need.
  4. Email swag@horizonra.com with new-hires shirt size so swag box can be sent. 
  5. Prepare material for day 1: leasing kit, property info sheet, notebook, property map, etc. 
  6. When hiring for a manager position (MS, AM & LM) the hiring manager should arrange for a peer to be on-site to assist with training and the introduction of Horizon's expectations.
  7. When a new Property Manager is hired, an apprentice will be on-site to assist with initial onboarding and training. It is highly encouraged that the Regional Manager be on-site during the first 2 weeks to answer questions, welcome them to Horizon and define priorities and expectations. A pre "transition/on-boarding" meeting with Training, Regional Manager & Market Apprentice will be initiated by the Regional Manager to plan for the new Property Manager arrival.
  8. If/when there is a full team transition, the property transition protocol should be followed by the Regional Manager. 


Special attention should be given to the following to ensure the onboarding process will be smooth:


  1. New hire's personal information (name, DOB, email, phone #, shirt size, favorite drink, favorite food/snack, etc) so the on-boarding process can be personalized. 
  2. Identifying the new hire's experience level to better establish training needs/focus 
  3. Ensure scheduling of current team supports the welcoming of the new hire.
