Purpose:

Optimize your Message Center experience by incorporating Entrata’s new Layered Artificial Intelligence into your workflow. Learn how to edit and revise AI-generated copy to add authenticity and build trust with your audience.

Procedure:

Accessing AI Tool:

In the Compose Message section of Message Center, a purple lightning icon will appear in the body text area. Tap on the icon and the prompt will appear, “What would you like to say in the body of your message?”

Add prompt and click submit
Suggest changes if necessary:
- Condense
- Change the tone
When you’re ready to use the text select, Yes, Use Generated Text
Proofread and edit email to include:
- Subject line
- Preheader text
- Merge fields to personalize email.
- Email banner or poster
- Button with applicable links
Send or schedule email.

Prompt Tips

Avoid generic and non-descript prompts like:
- One Day Sale. $500 Off Rent.
- Balcony cleaning. Move stuff by April 5th.
Craft well-thought out and detailed prompts for the best results.
- Provide context about your brand:
  - Community name
  - Community tagline
  - Community information
  - Audience
  - Top selling features
  - Brand voice
  - This information is in your community’s Design and Marketing Guidelines, located in The Source under Brand Toolkit.
- Clearly explain the purpose of your message.
Prompt example:
- Live on Hillsborough is an off-campus student housing community comprised of six buildings located throughout Downtown Raleigh. The North Carolina State campus is a half-mile away. Live on Hillsborough residents enjoy an outstanding location perfect for the modern student lifestyle. Customer service is the factor that sets Live on Hillsborough above and beyond the competition. Our brand voice is enthusiastic and approachable.
  We're hosting a One Day Sale on May 1, 2024. Anyone who signs a 2024-2025 leasing for a four-bedroom apartment will receive $500 off their first month of rent. It's our biggest special of the year. Don't miss out. Live on Hillsborough today!

Generative AI Tips

Proofread the message for readability and grammar. Read it out loud or type it out yourself to ensure that it sounds authentic. Generative AI tends to use generic phrases or cliches and can produce awkward sentences.
Overused generic generative AI phrases to avoid:
- Hey there!
- Dear Residents
- I hope this email finds you well
- We are writing to inform you
- We’re thrilled to announce
- This letter is to inform you
- Dream rental
- Management Team
- Warm regards
- Best regards
Limit emails to 3-4 paragraphs. Generative AI tends to produce 5+ paragraph long emails.

Limitations

Horizon is limited to 500 prompts per day.
Avoid exceeding 10 prompts per day to ensure that every location is able to access this tool.
