Purpose (Why we do this):
Websites and ILSs are an important part of the prospect's engagement with our product. This is often their first interaction with us, therefore information must always be up to date.
Protocol:
Please follow the steps below to update each touchpoint of your property website and digital presence. Note that some items are required to be active, regardless of current specials/availability. See the attachments at the bottom of this article for more resources.
Floor Plan Special / ILS Special (feeds from here to Apts.com, Zillow, Rent.com, Rentable, etc.)
Workflow:
Setup > Properties > Select property > Pricing > Specials
Frequency:
Weekly or as specials change.
- Not necessary if there is no active special
- ILS (Internet Listing Service) API Feed
- Please note that specials set up in Entrata under Pricing > Specials will pull over to any ILSs that are currently set up on an API feed. A start and end date must be entered, and the setting must be applied to "Entire Property."

Special Banner aka Website Ad
Workflow:
Visit Setup > Websites > Select property > Website Ads > Ads > Ad Runs
Frequency:
Weekly or as specials change. Even if there is no special to advertise, please update to reflect urgency messaging.

Workflow:
Respage > Chatbot > Responses > Special Offers > Edit > enter special and offer range > Add Offer > Save
Frequency:
Weekly or as specials change.

Floor Plan Media/Sold Out Floor Plan Banner (Not Required)
Workflow:
Setup > Properties > Select property > Property > Floor Plans & Units > Select Floor Plan > Edit Floor Plan Media
- Create image from Canva templates.
Frequency:
As Floor Plans sell out or are down to the last few spaces.
- Not necessary if there is no active special.
