The Horizon Student Renewal Plan is a workbook designed to help you plan strategic renewal communication. Print out the Renewal Plan timeline, fill in the dates, and start planning!


When planning your renewal specials, consider events and activities that affect your target audience like on campus events, sporting events, holidays, trending topics, and pop culture. 


Renewal email templates are found in Entrata. To use them: Go to Message Center > Create New > Select Recipient > Compose Message > Use Template > Choose from Template Library > Renewal Email Templates > Select Template > Use Selected. Once the template is selected, customize it to fit your property. For additional Message Center best practices, tips,  and tools, click here.


This year, there are four all-inclusive renewal campaigns in Horizon’s Canva for Teams space. These campaigns include banners, flyers, posters, yard signs, postcards, stickers, email banners, social media posts, and more. Search your theme and select projects to access all the customizable templates for each campaign. Each template is ready to be easily branded with your property’s font and colors. Customize the template with your text and lifestyle images.


Print out the Renewal Evaluation and complete every two weeks (or as needed) to evaluate renewal communication success and share results with your property manager. If there are any areas that need improvement, please contact the Marketing team for an evaluation and resources.

Renewal Strategies

Yes/No/Maybe


The Yes/No/Maybe board in the Source is your must-use tool for tracking your resident’s renewal status and communication.


During renewal season, each team member should always be logged into the YNM so as communication happens, either through phone, text, or in-person, it can be tracked thoroughly.


For efficient YNM operation:

  • Contact all “Unknown” residents first.
  • Log detailed notes of the interaction and what your resident tells you.
  • Renewal communication is everyone’s job. Divide and conquer with the team.
  • Urgently communicate to your residents about signing their renewal offers when they come into the office or are seen around the community.
  • Do not take “No” for an answer unless they have signed a lease elsewhere or have a valid reason for not renewing.
  • As soon as a renewal lease is countersigned, update the resident’s YNM status to “Renewed.”

Walk & Knocks


Walk and knocks should be done consistently throughout the renewal season to capitalize on communication with your residents. This strategy helps you get to know your residents and allows them to get to know you.


For efficient walk & knocks:

  • Bring an iPad or notebook so you can track communication as you go door to door.
  • Divide and conquer with your team to maximize results and have a buddy with you to tag team the sale.
  • Always have goodies or swag to give away (pie, snacks, masks, etc.).
  • Ask if they know their roommate’s plans.


Late-Night Leasing


Quality follow-ups require us to be nimble in our communication methods and contact time. By hosting late night leasing sessions with the team, this allows our follow-ups to occur in the evening when we will have a higher chance of connecting with our residents.


These can be made fun with the team by including dinner, a dress-up/down theme, or extra incentives (depending on budget).

 

Effective late-night leasing:

  • Set goals
    • How many contacts do you wish to achieve?
    • How many leases/renewals do you want to sign?
  • Outgoing call focus
    • Send a text if you don’t reach them.
  • Extend your Jive hours during the event so you can receive incoming calls.
  • Be personable & enthusiastic

Maintenance Team Involvement


Be sure you get your maintenance team involved in renewals; after all, they see our resident the most! Doing so will help build up the community feel of your property, because everyone will be involved with getting the residents to stay.


Here are some maintenance specific ideas:

  • Keep goody bags with renewal specials and deadlines on their cart so they can leave them when entering for service requests.
  • Use window paint or POP on maintenance golf carts to communication deadlines around the property.
  • Order shirts for the maintenance team that promotes your property and renewals.
  • Offer incentives for your maintenance team so they’re excited to help get renewals; plus, renewals=less turn!


Goals & Incentives


Keep your leasing team motivated by having visual goal boards in the office. Be sure the team is all on the page with the property’s renewal goal and help them stay motivated by breaking it down into weekly goal numbers.


Do you have incentives in place for the team? Get their feedback on what they would want when they achieve these goals; it doesn’t always have to be commission based but maybe it’s a salon or coffee gift card, team dinner, day off, etc.


By setting a clear goal and communicating frequently, this will keep your team motivated and excited to celebrate each and every lease!

Moving is expensive! Moving takes time! We save you money when you decide to renew and even pay you to stay in your 2 or 4 bedroom apartment. We offer the lowest prices to lease renewals!


How do I renew?


As students and young professionals, we understand you have a very busy schedule. We’ve made it seamless and easy for you to complete your renewal paperwork. All you have to do is go to your renewal offer on your resident portal. After you’ve accepted your offer a lease will be generated and sent your way to be signed electronically! It’s that easy.


Why do I need to renew so early? I just moved in.


It’s never too early! We offer more incentives to early birds who decide to renew. We have a limited number of renewal transfers available. If you don’t renew by March 5th, your room is on the open market. This means that your room will be available for a new tenant to rent for a summer/fall move in.


If I renew, will my guarantor have to sign again?


Yes and their lease is just as easy to sign as yours via the online resident portal.


When will my renewal rate be effective?

Renewal Email #6 Resident and Cosigner


Subject: Notice to Vacate for Non-Renewal

Our records show that you have not yet renewed your lease with The Zone that is scheduled to terminate on *LEASE_EXPIRATION_DATE*.  

After March 5th, 2023 your room will be placed on notice to vacate. This means we expect you will be moving out on *LEASE_EXPIRATION_DATE*, and the room will be assigned as an available room for our incoming residents that are now pre-leasing for 2023-2024. Also, on that date, our renewal rates on all non-renewed rooms are scheduled to increase. You will need to renew your current contract in order to avoid being placed on notice.

This letter serves as your official notice to renew your contract before it is officially placed on notice to vacate.

Renewal contracts can be completed in person at our rental office, or online through your resident portal, which can be accessed through our website at www.zoneatcollegestation.com. Please complete this process promptly to avoid losing your room. Although contract renewals will still be available after March 5th, current residents will not be guaranteed a spot after that date.

If you are interested in renewing, but are unhappy with your current living situation, we may be able to assist you with transferring, but these spaces are limited. Please contact the leasing manager immediately at asingmanager@zoneatcollegestation.com.
