Vendor Packet Description and Requirements

There are two types of vendors:


Remote Vendors: These are vendors that work off-site. Examples are supplier’s, utility companies, ad vendors, answering machine vendors, copier vendors, etc. If they are providing a service where they arenot coming to the property to do their work, they are a remote vendor. Some examples of big-name remote vendors are HD Supply, Chadwell Supply, Apartments.com, and Pacific Office Automation; but this applies to all similar companies.


On-Site Vendors: These vendors are any companies that will step foot on the property and the work that they are invoicing for is work that was completed while on site. Examples are landscapers, cleaners, repair work, pool maintenance vendors, carpet replacement vendors, resurfacing vendors, etc.


Remote vendors will need the following to be compliant:

  • NetVendor Compliant
  • Signed vendor packet
  • W9


On-site Vendors will need the following to be compliant:

  • NetVendor Compliant
  • Signed vendor packet
  • W9
  • Proof of worker’s compensation (or waiver)
  • Business license and contractor’s license (if applicable)
  • Certificate of insurance (individual requirements on pg 3 of vendor packet)
    • The policy MUST meet all of the minimum requirements listed in the vendor packet


*The additionally insured section on the certificate of insurance MUST list Horizon Realty Advisors LLC, AND each property’s legal entity name that they are working with (not company known name) before it can be accepted as compliant*


Ex: Company known name: Coug’s Housing


Legal entity name: HRA Pullman Portfolio LLC


If you are not sure of your legal entity name, your accountant or AP Supervisor can help you with that.
