Respage Chatbot

Purpose:


The Respage Chatbot is an AI-powered tool integrated into the property website, designed to provide 24/7 support for prospects and residents. It assists prospects by answering inquiries, scheduling tours, and gathering lead information. For residents, the chatbot includes an amenity scheduler, allowing them to book apartment amenities conveniently.


Policy:


  • The Chatbot is integrated with Entrata via API, ensuring that pricing and availability are updated daily.
  • The leasing team is responsible for updating office hours and leasing specials through the Respage dashboard as needed. Changes are reflected immediately.
  • The Chatbot’s primary goal is to schedule tours and gather lead contact information. 


Procedure:


Tour Scheduling Process:

  • The Chatbot schedules a tour with a prospect and notifies them that the leasing team will reach out to confirm.
  • The Chatbot updates the Entrata calendar and guest card and sends an email notification with tour details. 
  • The leasing team must call the prospect to confirm the appointment.
  • A prospect can schedule a tour up to two hours in advance.


Updating Chatbot Information:


To make updates, use the Responses tab in the Respage dashboard under Chatbot:

    • Click edit
    • Add special description
    • Add date range
    • Click Add Offer
    • Click Save

    • Click edit
    • Add office hours or holiday hours
    • Click Save

    • Add Description and Dollar Amount
    • Select Monthly Fee or Pet fee if needed

Custom Responses


You have the option to add custom responses for services, frequently asked questions, and other items that aren’t included in the Respage chatbot default.


How to Add a Custom Response:

  • Click "Add Custom Response."
  • Response Title
    • This title is for internal use only and is not visible to prospects.
  • Response Text
    • Enter the exact response you want the chatbot to display.
    • This is public-facing, so please double-check spelling and grammar.
    • Use a complete sentence and avoid answering with a simple “yes” or “no.”
  • Keywords & Phrases
    • Add keywords or phrases that will trigger the custom response.
    • Separate keywords with commas.
    • Avoid using the following keywords: availability, special, special offer, pet policy, fees, pet-friendly, and availability.
  • Quick Reply Button (Optional)
    • Toggle "Show Quick Reply Button" on if you’d like to add a button to the chatbot.
    • The first word or phrase in the "words/phrases to match" section will be used as the button title.
  • Photos (Optional)
    • Upload photos if applicable.
    • Choose whether the text should appear above or below the images.
  • Click "Save" to finalize your custom response.
  • Customize the template below to add custom responses to your Respage Chatbot.

    • The Preleasing setting should not be turned on unless the community is under construction. If enabled, the Chatbot will not provide immediate move-in availability.
  • Does the Chatbot update the guest card if the prospect is already in Entrata?
    • Yes, as long as the prospect uses the same contact information.
  • How do I get access to the Respage Dashboard?
