Purpose:
The Entrata transfer function helps simplify ledgers at renewal rollover. Transfer accounts will be separate, but linked. All accounting information will transfer automatically at the time the transfer is processed.
Policy:
Please follow these steps to set up & complete a renewal transfer in Entrata:
- Entrata Within the resident profile, select more actions > create renewal offer.
- In the top right hand corner of the offer, select change floorplan. Please also use this if the resident is simply transferring bedrooms OR staying in the same layout but transferring apartments.
- Select requested floor plan. If it's the same as the layout the resident is in now, just a different apartment, simply select the same current floor plan. It will still set them up to transfer.
- Update specials, add ons, etc. including RLIP, CSCORE, pets, etc. Click create renewal. Student sites- use the link below in "Procedure" for more information on renewal offers.
- Here is what the resident now sees on his/her end. It notifies them that they are now tied to a transfer lease.
- Depending on your property settings, the system may automatically draft the lease. If not, click generate lease.
- Here, you can add concession addendums if necessary. This depends on your property setup, budget, & more. Ask your PM for assistance if necessary.
- You'll notice some details are grayed out. If these need changing, you must change them in the offer itself. Please revert back to the create renewal offer stage & edit as necessary. Click generate lease.
- We recommend sending the invite, so the resident gets a notification to sign.
- Here's what the resident now sees on his/her portal. It no longer refers to the transfer, but it is still set up. They only get the transfer notice at the offer stage.
- Once the lease is signed, the resident now has 2 linked accounts (notice & future).
- To monitor/complete transfers, use the below tab on the dashboard (note- this is a different property/name than the screenshots above). Click process transfer. You can also transfer through the resident's individual profile. It performs the same action as the below steps.
- Verify all information is correct. Please be careful editing prices/dates, as the resident already has a signed lease for what is listed. If you need to edit any information, we recommend sending a new offer/lease. Click submit.
- The resident is now current in the new unit & past in the previous. All balances/credits should automatically transfer based on your Entrata settings.
- Please charge all damages/final bills from the previous unit to the current ledger so the resident has access to pay.
